Skin Lab Medical Academy Limited Terms & Conditions

Before purchasing any goods or services from us, please read the following terms and conditions.

“We”, “us” or “our” means Skin Lab Medical Academy Limited (referred to on our website and in our materials as Skin Lab Medical, Skin Lab Medical, or Skin Lab Medical Training Academy Limited 

“You” or ”your”’ or “delegate” or “students” or “client”  means the person making payment for training, goods, or other services from us.

The “Services” referred to in this contract are the Skin Lab Medical Academy courses. The training courses may be supplied either over the internet (e-learning) or in-person (practical courses).

The “Goods” means training booklets, treatment products, skincare products, aftercare products, and anything else advertised by us for sale.

Skin Lab Medical Academy Limited is registered in England and Wales.

If you purchase services from us you agree to be legally bound by these terms and conditions. You will be notified of any amendments if applicable.

The training courses have eligibility criteria. We reserve the right to decline admission to our courses if you do not meet the relevant criteria. Successful course bookings are confirmed in writing via e-mail once eligibility is proven and partial or full course payment has been received. Access to a training course is only given to the person whose details were provided when making the booking with us.

We reserve the right to cancel or change planned training courses in relation to dates, locations, and course content. You will be notified at least 24 hours in advance of any such changes where possible and a full refund offered in the event of cancellation. We accept no liability for any loss of earnings or expenses incurred by you or any models as a result of such changes.

Once the booking is confirmed by payment of deposit or balance in full the delegate may not change the course. If no longer required the delegate would have to cancel the booking. Any refund received would be in line with the terms and conditions stated.

We accept payment by various methods. Please email us for more information if needed.  The balance must be paid in full at least 7 days before the course date.  A confirmation email will be sent within an acceptable time frame once the balance is paid in full. 

If training is cancelled for reasons beyond our control we will endeavour to re-book training dates within a reasonable time frame. Skin Lab Medical Academy reserves the right to change or cancel planned training courses in relation to dates, locations, and course content. You will be notified at least 24 hours in advance of any such changes where feasibly possible and refunded the course cost only.

Cancellation

Notice of cancellation must be received in writing, by email, and is subject to the following terms failing to do so will result in loss of fees for each course missed so please read carefully. This is to cover our teachers time and other expenses:

All deposits are non-refundable.  All cancellations must be made in writing. Cancellations notified to us more than 28 calendar days before your course date you will receive a full refund minus your deposit. Cancellations 7-28 calendar days before the course date will receive a 50% refund minus your deposit. Cancellations less than 7 days 100% course fee is payable.

Reschedule Course Date 

You must give us 2 weeks’ notice before the relevant course date if you wish to transfer your course date. Any request made less than 2 weeks before the relevant course date under this will result in an administration fee being charged. If you reschedule your course with at least two weeks’ notice, the first rescheduling will not incur any administrative fees. However, any subsequent rescheduling will be subject to applicable administrative charges. If you move your course, the following administration fees will apply on the first transfer £50; on the second transfer £75; and on the third transfer £100. You may also, at our discretion, be restricted from any further rescheduling.

Should you be unable to attend a confirmed training date for medical reasons, you must inform the  academy no later than 2 hours before opening hours (opening hours 9.00am) in writing either by email, text message, what app, social media message. A valid medical certificate covering the named student and day of the booked training will also need to be provided to the academy to be able to rebook onto another class. Failing to do this will mean you are put down as a no show losing to rights to rebook your class. There are no refund options for this.

Failure To Attend 

Students that fail to attend their scheduled training, or students that attend for part but not all of their training, will have their training cancelled and all paid fees retained and non-refundable. 

If a course package is cancelled partway through the program of courses, all elements that have been undertaken at that point will be charged at their original price and not at the discounted price attributed to being part of a package or program of courses.

Failing to attend the class from being unwell you must contact us 2 hours prior to the course starting time to make us aware you are unable to attend in writing, by email. We may require a valid medical certificate covering the named student and day of the booked training. Any request made under this will result in an administration fee being charged depending on the circumstances. 

Any personal information that you provide to us will be dealt with in line with our Privacy Policy. When booking a training course with us you agree to Skin Lab Medical Academy using any information you submit to arrange your services and for marketing purposes.  You can opt-out at any time by contacting us. No information will be passed on to third parties.

The Discount is available for the period stated in the Promotional Material (“Promotion Period”). At the end of the Promotion Period, the Discount will no longer be available.

The Promotional Discount Offer can not be redeemed on already booked courses, or be transferable to another date, or be redeemed outside the promotional offer date stated. 

We own the relevant intellectual property rights in all text and images relating to our services, including the website. You will not copy, incorporate, adapt, alter or create any derivative work from any of our materials for commercial use.

Certificates CPD 

Replacement of certificate(s) as a printed hard copy is charged at £25 per certificate.

If you require your certificate to be reissued in a new name, we would require evidence for the reason for change of name plus the standard replacement certificate fees.

Replacement certificates for courses completed more than 5 years ago from today’s date cannot be issued due to limits on student data that can be held under GDPR regulations.

VTCT Training 

Once booked, you have 12 months to fully complete the qualification including training, coursework, and assessments from the date of booking. You would be unable to complete or resume any studies, outside of this period. All course fees are non-refundable and remain applicable even in the event that you do not achieve the qualification.

It is important students keep their knowledge and practical skills up to date by refreshing their knowledge using their training notes and continuing to practice their treatments ready for assessment days. Students have access to learning resources including e-manuals. Additional fees will apply should you require further training at a later stage, beyond your initial training days. You should ensure you revise and prepare thoroughly ready for assessments using the learning resources provided to you.

Qualification Programme Structure

All training should be completed as soon as possible, but within 6 months of date of booking to ensure best opportunity to complete the award. Written modules (coursework) should be submitted by email to info@skinlabmedicalacademy.com only once fully completed and ideally within 6-12 weeks of booking on to the programme. The portfolio of treatments should be submitted ideally within 20 weeks of booking onto the programme to ensure you are working to develop confidence & competence as soon as possible following training. The portfolio of treatments is required to demonstrate you have taken time to develop your confidence within your practical skills, to meet the required level to achieve the assessment standards. All students must aim to arrange and attend assessments as soon as possible after submitting their portfolio, once notified they are ready to do so.

Please note portfolios will only be retained for 20 weeks from submission and after which time will be disposed of through confidential waste, unless you progress to assessment. Failure to arrange and attend assessments promptly, will require additional treatments to be submitted to update your portfolio so that we can demonstrate you are continuing to maintain practice and treatment competence.

Written exams are completed on a scheduled, agreed date. You must pass the written exams before practical assessment days can be booked.

Practical Assessments are available, on scheduled date. The Skin Lab Medical Academy will support you with your studies however cannot accept responsibility for learners who fail to complete their qualification(s). Students are responsible for all costs in completing and submitting required work to achieve qualifications.

Assessments

You must achieve 70% or above on every exam paper to pass. We recommend students take time to revise thoroughly using the extensive learning resources provided (including study guides and course notes) to be best prepared for exams. If you do not achieve 70% on all papers, you need retake only those exam papers where the minimum 70% pass mark was not met. On attempts 1-3, you will sit Paper A (so the same exact paper for first 3 attempts) which some students gives reassurance as you can focus your revision better on those aspects found more difficult. After that, you will sit an alternative paper, Paper B. Once written exams are passed, you will be offered practical assessment dates. Exam resits are scheduled as a half day (3 hour) session, where a maximum of 3 papers can be taken per session.

Practical assessment days for VTCT are offered at our Hornchurch Centre only. 

Assessment Fees:

With every enrolment, we include 1 initial written exam day and 1-2 initial practical assessment day(s) as required for the relevant VTCT course, as standard within your course fee.

Should you need to retake your written exams, the following fees will apply:

iTEC:

On 1st exam attempt (resit):
£21 per paper. (3 papers max. per 3 hour resit session)

On 2nd exam attempt (resit):
£26 per paper. (3 papers max. per 3 hour resit session)

On 3rd exam attempt (resit):
£31.50 per paper. (3 papers max. per 3 hour resit session)

On 4th exam attempt (resit):
£36.50 per paper. (3 papers max. per 3 hour resit session)

On 5th exam attempt (resit):
£42 per paper. (3 papers max. per 3 hour resit session)

VRQ/NVQ/SVQ:
On 1st exam attempt (resit):
£15.50 per paper. (3 papers max. per 3 hour resit session)

On 2nd / 3rd exam attempt (resit):

£25 per paper. (3 papers max. per 3 hour resit session).

On 4th – 6th exam attempt (Paper B resits):
£50 per paper. (3 papers max. per 3 hour resit session)

Should you need to reschedule your exam session or practical assessment day(s) due to cancellation, lateness or no-show:

£45 per hour

When attending VTCT Courses and 1 day is missed you will have to catch up within the scheduled course dates of 15 days instead of 16. If missed more than 1 day of courses, you will have to attend extra day to substitute it for and a charge of £156 + £50 admin fee will be applied. 

The fee to reschedule can only be waived in the event of medical emergency of the named student only; where a medical certificate would be required. The Skin Lab Medical Academy can accept no responsibility for learners who are unable to arrange such, to achieve their qualification.

Qualification Certificates

Your Qualification certificate will be claimed from the awarding body (VTCT) only once you have successfully completed your final day of practical assessment and have been confirmed as fully complete. Certificates can take up to 12 weeks to be issued by the awarding body. Once received, you will be notified and asked to confirm the full address where you wish your certificate to be posted. Certificates are sent by 1st class recorded post so must be signed for upon delivery. Qualification certificates can only be issued in the name given at the time of submitting your Assessment Request Form when booking onto your assessment days. A fee will apply to rectify any errors beyond submission of the Assessment Request Form. Replacement certificates are chargeable and can only be ordered by contacting the Awarding Body directly after 30 days have passed since receiving your certificate from Skin Lab Medical Academy. 

Portfolios

Portfolios submitted towards assessment will be retained on file for an initial period of 6 months pending progression to assessment days. Where the student fails to progress to assessment as soon as possible after submitting their portfolio (and therefore where the portfolio is no longer valid evidence, as treatments within it date back to more than 20 weeks prior), we reserve the right to dispose of the portfolio through confidential waste collection without further notification. This is unless the student contacts us to request & make payment for its return within 5 months of its submission.

For students who progress to and complete assessment, portfolios must be retained awaiting internal verification by the awarding body as required and periodic external verification visits (where portfolios are sampled), which can take up to 12 months. Once released, it will be disposed through confidential waste without further contact. The only exception to this is where request for portfolio return is made within 5 months of the portfolio submission, with payment made of £25 to cover courier cost. Such portfolios will be sent to the last address we have on file for you. If your address changes, please ensure you update us as soon as possible as we can accept no responsibility for loss of portfolios returned to students in the post.

We aim to resolve any complaints as quickly as possible. Complaints regarding any of our services should be made in writing to Skin Lab Medical Academy Limited, 128A High Street, Hornchurch, RM12 4UH, or by emailing info@skinlabmedicalacademy.com Please request a copy of the complaints policy prior to correspondence.

All confidential information obtained during your training will be maintained in keeping with the General Data Protection Regulation act 2018.

Skin Lab Medical Academy reserves the right to amend the terms and conditions without notice. Continued use of our goods or services will indicate your acceptance of any changes.

Model Terms and Conditions 

Skin Lab Medical Academy offers significantly discounted treatments to Model clients in order to support the delivery of training in order for students to gain practical experience in their training. 

These sessions are offered at discounted rates with the following terms and conditions, which you agree to when placing a model booking:

Each model session can be delivered by either a tutor or a student under tutor supervision at the Skin Lab Medical Academy discretion.

By placing a model booking the Skin Lab Medical Academy you must place a deposit to secure the appointment which must be confirmed by a member of the Skin Lab Medical Academy team. 

By placing a model session booking you agree, consent, and waive any right to refund of model fees expect in the event where the session is cancelled by the Skin Lab Medical Academy. 

Nonattendance to your scheduled model session will result in cancellation and a loss of deposit. 

Each model is required to and provides consent and an irrevocable licence to use any and all photos/videos/digital media captured in their model session for training, advertising, testimonials, students’ assessment and marketing purposes. In addition, I waive any rights to inspect or approve photos/videos/digital media used for training, advertising, and marketing purposes. 

The Skin Lab Medical Academy reserves the right to cancel model bookings at any time without the need to provide explanation. 

Model Deposit is only refundable if 48-hour cancellation notice is given in writing.
